Involve Fundraising Rules
Thank you for your interest in fundraising in aid of Involve Kent (registered charity no. 1066911). By signing up to fundraise for us, you agree to comply with the following rules, which reflect our commitment to the Fundraising Regulator’s Code of Fundraising Practice and our Fundraising Promise.
1. Under-18 Fundraisers
- If you are under 18, please show these rules to your parent or guardian. They accept responsibility for your compliance when they allow you to fundraise.
2. Fundraising in Aid of Involve Kent
- Independent Supporter Status
- You are fundraising “in aid of” Involve Kent rather than on our behalf. This means you run your fundraising event independently.
- Event/Activity Organisation
- You are responsible for planning, organising, and managing all aspects of your fundraising activity (venue, logistics, safety, etc.).
- Costs and Expenses
- Involve Kent does not reimburse costs you incur unless explicitly agreed in writing.
3. Commitment to Best Practice
- Code of Fundraising Practice
- All fundraising must align with the Fundraising Regulator’s Code of Fundraising Practice to ensure it is legal, open, honest, and respectful.
- Fundraising Promise
- We uphold Involve Kent’s Fundraising Promise, which outlines our commitment to high standards and transparency. You can find our Promise on our website or request a copy.
- Use of the Fundraising Regulator Badge
- Where practical, please include the Fundraising Regulator Badge (logo) on event materials. This helps show our shared commitment to good practice.
4. Sponsorship Money and Donations
- Prompt Submission of Funds
- You agree to pay all proceeds to Involve Kent as soon as possible after the activity and within any timeframe we agree with you.
- No Unauthorised Deductions
- You may not deduct any costs from funds raised unless Involve Kent has given written approval.
- Gift Aid
- Encourage donors to complete a Gift Aid declaration (if eligible), which boosts the value of their donations at no extra cost to them.
5. Complaints Procedure
- Raising a Concern
- If you or any participant has a complaint about Involve Kent’s fundraising, please contact us using the contact details below.
- Response and Escalation
- We will acknowledge complaints, investigate promptly, and provide a response (usually within 28 days).
- If you remain dissatisfied, you can refer your complaint to the Fundraising Regulator within two months of our final response.
- Record Keeping
- We keep a record of fundraising-related complaints for at least 24 months, unless data protection laws require earlier deletion.
6. Use of Involve Kent Name and Logo
- Branded Materials
- If we provide you with branded materials (e.g., T-shirts, flyers), use them solely for your fundraising in aid of Involve Kent.
- Permission for Independent Materials
- If creating your own promotional assets with our name or logo, please get our written approval first and follow our brand guidelines.
- Reputation
- You must not harm Involve Kent’s reputation. If your activity risks damaging our name, we reserve the right to ask you to cease your fundraising immediately.
7. Data Protection
- Personal Information
- By signing up to fundraise, you consent to us using your data to coordinate your event and follow your progress.
- Further Communications
- If you opt in, we will keep you informed about Involve Kent’s work and other ways to support us.
- Privacy Policy
- We manage all personal data in accordance with our Privacy Policy and current data protection legislation.
8. Content and Media
- Photographs and Videos
- If you share event photos or videos with us, you grant Involve Kent the right to use them for promotional purposes.
- Ensure you have permission from anyone featured, especially for those under 16 (obtain consent from a parent/guardian).
- Copyright
- Please only use images and media you have the right to use, ensuring no third-party rights are infringed.
9. Liability and Responsibility
- Risk and Insurance
- You are responsible for any risks arising from your fundraising activity. We recommend arranging independent insurance if necessary.
- Involve Kent’s insurance does not cover your activity.
- Legal Compliance
- You must comply with all relevant laws (e.g., licenses for raffles/lotteries, alcohol sales) and follow health and safety regulations.
- Health and Safety
- Please ensure the well-being of participants and the public at your event.
